Academics: A Self-Hosted, AI-Driven Hub for One Student's Schooling

Every student’s schooling generates a paper trail: graded essays, report cards, progress reports, teachers’ notes. In most households that trail scatters across inboxes, backpacks, and photo rolls, and nobody can answer “how is school going right now?” without an archaeology session.

Academics is the alternative: a private, self-hosted web application that acts as the single source of truth for one student’s schooling, with AI doing the filing. It is currently in active development on private infrastructure, so this page is a case study rather than a live demo.

The Idea

Two decisions shape the whole system.

The record book is fed by email. Parents and teachers do not learn a new tool; they simply forward graded work or report cards to an intake address. Only approved senders get through, attachments land in a shared documents folder, and each message is queued for review, where an AI “academic analyst” (or a person) files it into the permanent record.

Every change is on the record. There is no third-party database or SaaS dashboard behind the scenes. The records themselves are plain, versioned documents, so every grade, entry, and dashboard update is tracked, auditable, and reversible.

What We Built

A private web application on self-hosted infrastructure, behind a secure sign-in with separate viewer and admin access.

• Email-to-records pipeline. Forward graded work to an intake address; approved mail is captured, attachments are saved, and each item is queued for filing.
• AI academic analyst. AI files incoming items into structured records, updates the affected course pages, and keeps the dashboard current.
• A live academic record. A dashboard, course pages, and a dated record log covering grades, assignments, tests, report cards, and notes.
• Study section. AI-generated, per-course study guides and practice sets.
• Admin console. Manage who can send in records and review everything awaiting filing.
• Email out. Receipt acknowledgments confirm intake, and a weekly digest summarizes what’s new.

Where It’s Headed

When complete, the site is a hands-off pipeline from classroom to record book. Anything an approved sender forwards in (a graded essay, a progress report, a teacher’s note) lands in the shared documents folder within seconds and is queued for filing. From there, the AI analyst files each item as a structured record, updates the affected course page, and refreshes the dashboard snapshot, so the home page always answers “how is school going right now?” at a glance. Outbound email closes the loop: receipt acknowledgments confirm intake, and a weekly digest summarizes new records and open questions.

The result is a complete, versioned academic history, private and fully under the family’s control, running for the cost of a domain with zero third-party database or SaaS dashboard in the loop.
